The Importance of Timing – Reflections on Cultural Sensitivity in Event Planning

After our grand opening, I had time to reflect on one detail I missed: the timing of the event. While it was a beautiful day filled with celebration, I later realised it fell during Eid—an important cultural moment for many in our wider community. Some friends and supporters couldn’t attend because of it, and that stayed with me.

In our desire to launch, I hadn’t fully considered how cultural and religious observances could impact attendance or feelings of inclusion. As someone who deeply values community and cultural respect, this realisation was humbling.

It’s not about perfection—it’s about awareness. About doing our best to create spaces that are welcoming, and recognising that inclusivity includes timing, not just language or design.

Going forward, I’ve committed to planning around major cultural and religious observances, not just for attendance, but to honour the diversity of the communities we hope to serve.

In community-focused work, cultural sensitivity can’t be an afterthought. For those of us building platforms that uplift marginalised voices, inclusivity must be intentional in every step—from partnerships to programming to scheduling.

This experience reminded me to not only consider what we’re building, but when we’re building it.

If you’re also in the work of hosting events, gatherings, or programs—take the time to check the calendar. Ask questions. Do the research. It’s a small act that can create a big impact.

And if you’ve ever overlooked something and had to adjust or learn after the fact? You’re not alone. Growth lives in those moments.
